Event work has a different problem from permanent signage. You are not asking whether a balloon lasts a year. You are asking whether it survives a specific weekend without needing anything you did not bring with you. The answer is better than most people expect, and it comes down to one number.
The number that makes events work
A helium balloon loses about **one percent of its gas per day**.
Over a three-day event, that is three percent. Fill on Thursday, and by Sunday evening you are at ninety-seven percent. The balloon flies the whole event on a single fill.
The consequence is the useful part: **no helium on site.** No cylinder in the booth, no gas delivery to coordinate with a venue, no refill wedged into a show day that is already too short. You fill before you go and the balloon is done needing you.
For a four-day run it is ninety-six percent. Still fine.
Planning backwards from the event
Work the dates in reverse, because the constraint is earlier than people assume.
**Event day** — inflate on site or arrive inflated.
**Two to five business days before** — shipping. UPS Ground from the factory in North Carolina, single carton, 60 by 26 by 3 inches. $135 for a blimp, $27 for a sphere.
**Three to seven days before that** — production, if you are having artwork printed. And that clock starts at *artwork approval*, not at order.
**Before all of it** — get the artwork settled.
Realistic rule: for a printed blimp, start two to three weeks out. For a plain 5.5-foot sphere, in-stock units go out in one to two days, so a week is workable.
Which unit fits an event
**Grand opening.** A 13-foot blimp at $1,526 with full-colour artwork on both sides included. Openings are the one event where the message genuinely matters — people need to know who just opened.
**Fair, festival or fundraiser.** Spheres. $350 each plus $27 shipping. Colour and motion, several of them, marking an area rather than naming it.
**Multi-day trade show.** A blimp, and the one-percent rule does its best work here. Some exhibitors do not deflate at all between shows — they haul the blimp inflated in a trailer and roll it off ready to fly at the next one.
**Sports or school event.** Spheres in team colours, or a printed blimp if it will be used across a whole season rather than one date.
Indoor events
Indoors, height stops being the selling point and ceiling becomes the constraint.
A blimp needs **15 feet of clear ceiling** to fly properly. Convention centres and large halls generally have it. Hotel ballrooms and school gyms often do not — measure before you commit.
Ask the venue about helium separately. Some have their own rules about inflated displays, and it is a better question to ask three weeks out than on load-in morning.
Outdoor events and the wind rule
Winds forecast over 25 miles per hour, bring it in.
At an event this is more awkward than at a fixed site, because you are usually busy and the balloon is not the priority. Give it to one named person as an explicit job for the day. Wind does not wear a balloon out — wind loses one, and a lost balloon at an outdoor event is a very visible failure.
Net lift is about three pounds on a blimp, so a sandbag or a stake tie-off is enough anchoring.

A blimp needs about 170 cubic feet for a full fill, roughly $255. A sphere needs about 87 cubic feet, roughly $130 — and one 200 cubic foot tank fills a sphere twice.
Reusing it
This is where events get cheap. The purchase is once; the events are many.
The unit deflates, folds flat and goes back in its shipping carton. Polyurethane recovers from folding rather than creasing, so a balloon stored between events comes out without a weak line where the fold was. Customers are still flying units bought fourteen years ago.
If your artwork is evergreen — your name and logo rather than a specific date — one blimp covers years of events. If you print a date on it, you have bought a single-use item at a reusable price.
Airspace, before the event not during
Below 150 feet above ground level, the FAA is not involved in tethered balloons, and the standard 120-foot flight height sits deliberately below that.
Within five miles of controlled airspace, call the local tower. Many fairgrounds and event sites sit inside that ring. The call is routine and has never been refused in forty years of doing it — but make it in advance, not on the day.
